The DeCA, prepared with every EDI order

If you receive EDI orders from your customers, with EdiEZ the transport control document comes prepared with every order. You only complete what is known when the truck is loaded and process it.

What is the DeCA?

The DeCA is the control document that goes with every hired road freight transport inside Spain (Orden FOM/2861/2012). Until 4 October 2026 it could be on paper. Since 5 October 2026 it is electronic: a PDF with a QR code that the driver carries, on their phone or printed. If the Guardia Civil or a transport inspector stops the truck, they scan the QR and download the document.

Who must issue it?

It is issued by whoever hires the haulier, before the truck leaves. Without a valid DeCA, both the shipper and the haulier can be fined.

You do not need it if you ship through a transport agency or a pallet network, by parcel service, with your own trucks, or if your customer collects the goods.

How it works with EdiEZ

  1. 1. The order arrives

    Your customer sends you the order by EDI and EdiEZ receives it as usual.

  2. 2. The DeCA draft comes with it

    With the order you receive a DeCA draft already filled in: your company, the origin, the destination, the articles and the quantities. Also with the delivery notes, order changes and order responses.

  3. 3. Complete what is known at loading

    Haulier, plate, transport date and weights. EdiEZ remembers your last haulier and the weight of each article for next time.

  4. 4. Issue it and send it to the driver

    Process the Excel or save the form and you receive the PDF with its QR code by e-mail, ready for the driver.

If something changes after issuing it

Change the DeCA and process it again. The new PDF replaces the previous one behind the same QR code and includes a changes section with the old value, the new one, the reason, the date and the time. Every earlier version stays stored.

Price

  • Each DeCA issued counts as one more transformation on your monthly invoice, at your rate and your volume for the month.
  • Drafts are free, and so are the changes to a DeCA already issued.
  • Nothing to activate: it is available to every EdiEZ client that receives EDI orders.

Frequently asked questions

Do I always have to issue it?

No. Only when you are the one who hires the haulier. Otherwise, ignore the draft: nothing is issued or billed.

What if my customer collects the goods?

Then you do not have to issue it. If your company never hires the haulier, you can turn the DeCA off in Settings and the drafts will stop coming.

What if the truck changes?

Change the plate in the DeCA and process it again. The driver keeps the same QR, which now downloads the new PDF showing the change.

How does the driver get it?

You receive the PDF by e-mail and forward it to the driver, by e-mail or WhatsApp. They can carry it on their phone or printed.

How long is it kept?

EdiEZ keeps the DeCA and all its versions for at least one year, as the regulation requires.

Do I have to be an EdiEZ client?
